Bamboo Health and Safety Policy

1. Policy Statement
Bamboo is committed to providing a safe, healthy, and comfortable environment for all members, visitors, and staff. We believe that all accidents, injuries, and work-related illnesses are preventable. Our aim is to foster a culture where health and safety are prioritized, and everyone takes responsibility for their own well-being and the safety of those around them. We will comply with all relevant health and safety legislation and strive for continuous improvement in our safety performance.

2. Scope This policy applies to all individuals utilizing or working within Bamboo, including:
Members (daily, weekly, and monthly members)
Visitors (guests of members, meeting attendees, delivery personnel, event attendees, etc.)
Staff (employees, contractors, and volunteers of Bamboo)

3. Responsibilities

3.1. Bamboo Staff: Provide a safe and healthy working environment, including suitable equipment and facilities. Develop, implement, and review this Health and Safety Policy regularly. Ensure compliance with all applicable health and safety legislation. Provide necessary information, instruction, training, and supervision. Conduct regular risk assessments and implement control measures. Investigate all incidents, accidents, and near misses, and take corrective actions. Maintain first aid facilities. Ensure emergency procedures are in place and communicated effectively. Consult with members and staff on health and safety matters.

3.2. Members, Visitors, and Staff: Take reasonable care for their own health and safety and the safety of others who may be affected by their actions or omissions. Comply with all health and safety rules, procedures, and instructions. Report any hazards, unsafe conditions, incidents, accidents, or near misses immediately to Bamboo staff. Use equipment and facilities safely and for their intended purpose. Not intentionally or recklessly interfere with or misuse anything provided in the interest of health and safety. Cooperate with Bamboo management on all health and safety matters.

4. Key Health and Safety Procedures

4.1. Risk Assessment: Regular risk assessments will be conducted to identify potential hazards within Bamboo (e.g., trip hazards, electrical safety, ergonomic risks, fire risks, security risks). Control measures will be implemented to eliminate or minimize these risks.

4.2. Emergency Procedures:

Fire Safety: Clearly marked fire exits are found through Bamboo facilities. Fire extinguishers will be readily available and regularly inspected.

First Aid: Designated first aid kits will be available at the front desk of each location. All injuries, no matter how minor, must be reported to Bamboo staff immediately.

Medical Emergencies: In case of a serious medical emergency, call 911 immediately. Notify Bamboo staff promptly.

4.3. Incident Reporting and Investigation: All incidents, accidents, and near misses, regardless of severity, must be reported to Bamboo staff immediately. An incident report form will be completed, and an investigation will be conducted to determine the root cause and implement corrective actions to prevent recurrence.

4.4. Housekeeping and Cleanliness: Members and staff are responsible for maintaining a tidy and clutter-free workspace. Spills should be cleaned up immediately. Walkways and exits must be kept clear at all times. Regular cleaning of common areas will be undertaken by Bamboo staff.

4.5. Electrical Safety:All electrical equipment provided by Bamboo will be regularly inspected and maintained. Members bringing their own electrical equipment must ensure it is in good working order and has been safety tested if required. Overloading power outlets is strictly prohibited.

4.6. Ergonomics: Members are encouraged to set up their workstations ergonomically to prevent musculoskeletal strain. Information on ergonomic best practices will be available upon request.

4.7. Security: Access control measures are in place to ensure the security of Bamboo premises. Members are responsible for securing their personal belongings. Any suspicious activity should be reported to Bamboo staff immediately.

4.8. Hazardous Substances: The use of hazardous substances within Bamboo is generally prohibited. Any exceptions must be approved by Bamboo management and proper safety data sheets (SDS) and handling procedures must be followed.

4.9. Welfare Facilities: Bamboo will provide adequate welfare facilities, including clean restrooms, access to drinking water, and appropriate break areas.

4.10. Communication and Training: This policy will be communicated to all members and staff upon joining Bamboo. Induction training will include a health and safety briefing. Regular updates and reminders on health and safety procedures will be provided.

4.11. Infectious Disease Protocol (including COVID-19) Bamboo is committed to minimizing the risk of transmission of infectious diseases, including but not limited to COVID-19, influenza, and the common cold. Our protocols are guided by recommendations from the Centers for Disease Control and Prevention (CDC) and the Michigan Occupational Safety and Health Administration (MIOSHA).

4.11.1. Individual Responsibility and Staying Home When Sick: All members, visitors, and staff are strongly encouraged to stay home if they are feeling unwell or exhibiting any symptoms of an infectious disease (e.g., fever, cough, sore throat, new loss of taste or smell, fatigue, muscle or body aches, headache, congestion or runny nose, nausea or vomiting, diarrhea).I ndividuals who have tested positive for an infectious disease (such as COVID-19) or have been in close contact with a confirmed case should follow current CDC and Michigan Department of Health and Human Services (MDHHS) guidelines for isolation and quarantine before returning to Bamboo. Please notify Bamboo staff if you test positive for an infectious disease after having been in the space, so appropriate communication and cleaning measures can be taken while respecting privacy.

4.11.2. Hygiene and Sanitation:Hand Hygiene: Frequent and thorough handwashing with soap and water for at least 20 seconds is promoted. Alcohol-based hand sanitizer (at least 60% alcohol) will be readily available at various locations throughout Bamboo.

Respiratory Etiquette: Individuals are encouraged to cover coughs and sneezes with a tissue or into their elbow, and to dispose of used tissues immediately in no-touch receptacles.

Increased Cleaning and Disinfection: High-touch surfaces (e.g., door handles, light switches, communal equipment, shared desks, kitchen counters) will be cleaned and disinfected regularly by Bamboo staff. Members are encouraged to utilize provided disinfectant wipes to clean their personal workspace and any shared equipment (e.g., keyboards, mice, monitors) before and after use.

Cleaning products used will be EPA-approved disinfectants effective against viruses.

4.11.3. Ventilation: Bamboo will ensure that our HVAC systems are properly maintained and optimized for air circulation and filtration. Where feasible and appropriate, windows and doors may be opened to increase natural ventilation.

4.11.4. Physical Distancing (as recommended): While strict social distancing mandates may not be in effect, members are encouraged to be mindful of personal space and respect others' comfort levels. Arrangement in common areas will be designed to allow for comfortable spacing.

4.11.5. Face Coverings (Optional/Recommended): The use of face coverings within Bamboo is optional for all members, visitors, and staff, unless otherwise mandated by state or local public health orders. Bamboo respects individual choices regarding face coverings and encourages anyone who wishes to wear one to do so. In situations of higher community transmission, or if an individual feels more comfortable, the use of a well-fitting mask is recommended.

4.11.6. Communication and Awareness:Signage promoting good hygiene practices (handwashing, cough etiquette) will be displayed throughout Bamboo. Updates to infectious disease protocols, based on guidance from public health authorities, will be communicated to all members via email.

4.11.7. Managing Suspected or Confirmed Cases:If an individual becomes symptomatic while in Bamboo, they will be asked to isolate themselves immediately and leave the premises as soon as safely possible.Bamboo will follow current public health guidance regarding notification of potential exposures, while maintaining confidentiality where legally required. Affected areas will undergo enhanced cleaning and disinfection.
